Become a Facilities & Maintenance Coordinator
This is a brilliant opportunity to become a Facilities & Maintenance Coordinator, for a person who loves organisation, problem solving and making things happen. You’ll be the friendly, reliable link between our stores, contractors and internal teams - making sure requests are progressed, costs are controlled and work is completed to the right standard.
Your Mission
Receive, review and action Facilities & Maintenance requests raised by stores through our property management system.
Keep live requests moving by monitoring progress, following up with contractors and updating stores through to completion.
Coordinate maintenance works by obtaining contractor quotes, placing orders, checking progress and confirming works have been completed satisfactorily.
Raise purchase orders, check invoices and support accurate authorisation in line with company processes.
Order fixtures and fittings, working with stakeholders to make sure the right specification is supplied for each store.
Organise routine waste collection services for stores, arrange ad-hoc waste facilities such as skips, and resolve service queries or complaints with Biffa Customer Services.
Coordinate store window cleaning services and support the resolution of non-service complaints.
Help keep maintenance spend under control by monitoring costs, preparing weekly management reports and sourcing supplier cost comparisons.
Monitor planned maintenance activities, raise purchase orders and process service sheets received and remedial works where needed.
Arrange property-related insurance works and support follow-up activity through to completion.
Look for smarter, more efficient ways of working, helping the team continuously improve the service we provide to stores.
Provide ad-hoc administrative support to the Central Operations team when required.
Skills/Behaviours That Will Set You Apart
A willingness to learn Facilities and Maintenance Coordination.
An understanding of retail environments would be great, but it’s not essential.
Strong general business administration skills, with confidence using Microsoft Office, including Excel.
Basic knowledge of the Regulatory Reform (Fire Safety) Order 2005 and good general Health & Safety awareness.
Excellent organisational skills, accuracy and attention to detail.
A patient, methodical approach to managing workload and following tasks through to completion.
A flexible, can-do attitude with the ability to multi-task and prioritise in a busy environment.
Great interpersonal and communication skills, with the confidence to liaise with stores, suppliers and internal teams.
The ability to work as part of a team while also taking ownership and using your own initiative.
A willingness to learn and confidently use in-house software packages.
